Okanagan Live Virtual Campus Tours Shadowing Coordination

Assisted in organizing a specialized training project that offers UBC Vancouver Campus Student Ambassadors the opportunity to observe Okanagan campus tours. This porject aims to enhance their understanding of the Okanagan campus experience, fostering greater awareness of the academic, social, and community opportunities available to prospective students across both campuses. The program strengthens cross-campus collaboration and resource/ knowledge exchange.

This initiative aimed to enhance the collaboration between the Okanagan and Vancouver campuses, enabling Student Ambassadors to gain a deeper understanding of opportunities at both campuses. By observing campus tours, Ambassadors became better equipped to guide prospective students, recommend live virtual or in-person campus tours, and promote a comprehensive UBC experience.

My support included the following:

  • To support this initiative, I played a key role in several areas:
    • Roster Management: Ensured the Ambassador roster was updated and accurate, streamlining communication and scheduling processes.
    • Mass Communications: Assisted in drafting and distributing clear communications about shadowing opportunities, deadlines, and logistics, ensuring Ambassadors were informed and timelines were met.
    • Follow-Up Coordination: Conducted follow-ups to collect Ambassadors’ availability for shadowing sessions, ensuring smooth scheduling and alignment with tour schedules.
    • Database Maintenance: Created and managed a centralized system to track Ambassador schedules and confirmations, improving operational transparency and organization.
    • Shadowing Sessions Organization: Coordinated the logistics of shadowing sessions, including briefing Ambassadors on expectations and encouraging active observation of campus tours.
    • Attendance and Logistics: Worked closely with team members to confirm Ambassador attendance and resolve logistical challenges that arose during the sessions.
    • Reflection Development: Contributed to designing a framework for post-shadowing reflections, providing Ambassadors with a platform to share their insights and learning experiences.
    • Feedback Mechanisms: Followed up to ensure timely submission of reflection forms and developed templates to facilitate constructive feedback and continuous program improvement.

This project significantly strengthened cross-campus collaboration and enhanced the Student Ambassador Program’s capacity to deliver a more integrated and informed experience for prospective students and tour participants.
